Before you start

  • Any user can import contacts and bulk tag contacts. Both start from an account, not from the main Contacts page.

  • Members can only import contacts into an account that's activated. If the account isn't activated yet, ask an admin to activate it. Admins and Owners can import into any account.

  • Prepare your data in a spreadsheet before uploading. Centralize provides a downloadable CSV template with the correct column headers.

  • Duplicates are handled automatically: a person who's already on the account isn't added twice, and repeated rows in your file are skipped.

Upload contacts via CSV

  1. Navigate to the Accounts section in the left sidebar.

  2. Select the account you'd like to upload the contacts into.

  3. Open the upload option from either place:

    • The Relationships tab (called Account Map in some workspaces): in the Stakeholders view, click More Actions → Upload CSV file.

    • The account's Contacts tab: click More actions → Import contacts from CSV.

  4. Download the CSV template (contact-import-template.csv, attached below). Each row needs a First Name, a Last Name, and either a valid Email or a LinkedIn URL. Optional fields: Title, Tags.

  1. Fill in the template with your contact data (or format your own file to match the template headers).

  2. Drag and drop your completed CSV into the upload panel, or click to browse and select the file.

  3. Centralize validates the file and displays a preview of the records to be imported.

  4. Review the preview to confirm the data looks correct, then click Upload to complete the import.

Tip: If your CSV has columns that don't match the template headers exactly, Centralize will attempt to map them automatically. Review the column mapping step carefully before confirming the upload.

After the upload

Once the upload is complete, new contacts are added to the selected account. Contacts who were already on the account are counted as "already on the account" rather than added again.

Rows that couldn't be imported (for example, a missing name or an invalid email) are skipped. You can download the skipped rows as a CSV, fix them, and upload them again.

Note: Large uploads may take a few minutes to fully process. Refresh the page if records don't appear immediately.

Bulk tag contacts via CSV

Use this to add tags to many contacts on an account at once, for example to mark a list of champions after an event.

  1. Open the account and go to its Contacts tab.

  2. Click More actions, then Bulk tag via CSV.

  3. Upload your CSV. It only needs an Email column. You can also include a Tags column with the tags for each contact. Centralize detects these columns automatically from headers like "email" and "tags."

  4. Optionally, choose Tags to apply to every matched contact to add the same tags to everyone in the file.

  5. Click Apply tags.

Good to know:

  • Bulk tagging only updates contacts that are already on that account, matched by any of their email addresses. It never creates new contacts.

  • Emails that don't match a contact on the account are skipped, and you can download those rows.

  • To add more than one tag to a contact, separate them with semicolons in the same cell (for example, Champion;Decision Maker).

  • Tags that don't exist yet are created automatically.

  • Tags are added to what's already there. Existing tags are kept.

Limits

  • Contact imports: up to 100 contacts per day per workspace, up to 1,000 rows per file, and files up to 10 MB.

  • Bulk tagging: up to 2,000 rows per file, 200 different tags, and files up to 10 MB.

If you need a higher daily import limit, contact support.
